At The Soulful Pause, we aim to deliver meaningful and personalized wellness experiences, while maintaining ethical standards and clear communication. This notice explains how AI voice-to-text technology may be used during coaching consults and the terms under which it operates.

1. Purpose of AI Voice Recording

With your consent, AI voice recording may be used during 1:1 or group consults for the sole purpose of:

 

  • Generating a written summary report of your session

  • Supporting accurate documentation for your ongoing coaching journey

  • Background administrative processing (e.g. note-taking and client insights)

This tool allows us to stay fully present during your session while ensuring you receive high-quality, clear post-session documentation.

2. Privacy and Data Protection

Your privacy is paramount. Here’s how your data is handled:

 

  • No raw voice data or audio files are stored long-term by The Soulful Pause or the AI tool

  • Only the AI-generated written report is retained for your file and shared with you

  • Voice recordings are processed in real-time and not used to train external AI systems

  • Your identity, voice, or personal audio content will never be used or shared beyond report creation

We are committed to complying with Australian privacy standards.

3. Consent Is Required

Explicit written or verbal consent is required before any AI voice recording is used during your session. This will be confirmed prior to starting each consult.

 

If you prefer not to use AI-generated reporting, you have two options:

 

  1. Opt-out: Your session will not be recorded.

  2. Manual report option: A manually written summary will be provided by your coach, which incurs an additional administration fee of $60per hour (to be confirmed before booking).

 

This ensures fairness in time and energy investment for non-AI processing.

You may withdraw consent at any time, request access to your written report, or ask for corrections. All information remains confidential and protected under our [Privacy Policy].
